Deadlines Meaning
Note that on page 2, the first column represents the "Full Semester", the second column the "First Session", and the third column the "Second Session". Most classes run for the Full Semester, but special courses (e.g. ECE 6193), can be arranged to be a "Second Session" if a student, for instance, decides to enroll late in the semester.

End-of-Semester
Students who apply to graduate in a given semester and find that they cannot complete degree requirements by the posted deadlines can opt to utilize an option at Ohio State called End-of-Semester.
Students who take this option have until the last business day before the start of the next semester to complete all degree requirements, including defending a dissertation or thesis, submitting the final approved document, and taking care of all related paperwork and fees.
Meeting the End-of-Semester deadline means that a student will officially graduate the following semester and will not have to be enrolled in that semester, nor re-apply to graduate. The student's degree is conferred at the next commencement ceremony, and this is the date of graduation that will appear on the student’s official transcript.
How can you get permission to add/drop a course from an Instructor and/or Advisor?
If you need permission to add/drop a course, you can either:

Obtain permission via email (preferred). Send an email to the faculty member(s) you need permission from. In the email, you have to specify the course #, class #, term, instructor and # of credits. Once they reply granting you the permission, all you need to do is to forward the email:

To the graduate school grad-schoolregistrationservices@osu.edu. Please use this option if you need to enroll in a class the day of a deadline. Deadlines are typically at 4.30pm, so the timestamp of the email will ensure your enrollment.

Use the Course Enrollment Form (you can find it in the ECE website), get the required signatures on it, and take it or email it to the Graduate School (grad-schoolregistrationservices@osu.edu).
Example of an acceptable email:
Hi Prof. Fiorentini and Prof Passino, I would like to enroll in ECE 5551, State-space Control Systems (3 credits), this Fall Semester 2021 (Class Number 53542).

Add a course

Up to the "last day to add course using online registration": you can add a course online by yourself. You need the instructor's permission (not the advisor's) only if:

you do not meet the prerequisites for the course; or
-
the class requires permission to be entered (e.g. ECE 6193)

From the "last day to add course using online registration" to the "last day to add a course without a petition": you need the instructor's permission to enroll in the course.

After the "last day to add a course without a petition": you need to petition to add a course at Gradforms.osu.edu and the enrollment is not guaranteed. Also, if you add a course after this day you will be charged $100 per class or $500 if you were not previously enrolled in any course (See "Late Registration Fee" and "Late Course Add Fee"). If you are adding Individual Study credits after this day, take advantage of the Second Section.
Audit a course
If you want to Audit a course, you only need the instructor's permission to do so (not the advisor's).
Drop Courses

Up to the "last day to drop a course using online registration": you can drop a course online by yourself. If you drop a course after this day you will get a "W" (=Withdrawn) on your transcript.

From the "last day to drop a course using online registration" to the "last day to drop a course without petitioning": you need your advisor's permission to drop the course.

After the "last day to drop a course without petitioning": you need to petition to drop a course at Gradforms.osu.edu and you are not guaranteed that you will be able to drop the course.
Graduate Students are responsible for adding and dropping courses on time on their own. Please make sure to check the Deadlines every semester to make sure you add/drop classes in a timely way not to occur in extra fees. Professors do not have the ability to add/drop courses for students as Undergraduate Advisors do, so please do not email me asking to add/drop a class for you because I can't.

*NOTE: "x" means offered; "xe" means offered in even years; "xo" means offered in odd years. So if a course has an "xo" in the "Sp" column, it means that it will be offered in Spring 2015, 2017, 2019 and so on.

Permission to Enter/Audit a Course
Please check the Permissions tab, to understand who you need permission from to enroll in a course, and the Deadlines tab.
Full-Time Student Status
Make sure to maintain the full-time student status if you are required to do so. For instance:
- GRA, GTA appointees: 8 hours minimum (4 in the Summer)
- Fellow appointees: 12 hours minimum (6 in the Summer)
- International Students: 8 hours minimum (no requirements for the Summer)
- Includes any required English courses;
- Students can apply for "Reduced Course Load - Final Term" to reduce their course load to up to 3 credits in the semester of graduation
Please check the OIA and Graduate School websites to confirm the minimum requirements that apply to you and for further information.
Watch for Law of Unintended Consequences: when adding/dropping courses, timing is important (mind the deadlines)!
Each course has a different Class Number every time it is offered. Moreover, some courses might have multiple Class Numbers associated to them in the same semester. For instance:
5000-level courses
Both undergraduate and graduate students can enroll in 5000-level courses. As a result, these courses have two Class Numbers associated to them, one for the undergraduate section and one for the graduate section of the class. Please make sure to enroll in the right section of the class when you add the course.
Example
Individual Study Credits and Research Credits
Each faculty, each semester, has their own session(s) of Individual Study Credits (e.g., ECE 6193) and Research Credits (e.g., ECE 6999). In one semester, a same instructor might have a "Regular Session" and a "Session 2" session of these courses. You should enroll in the:
- "Regular Session" if you are adding the course at the beginning of the semester (before the "Late Course Add Fee" deadline);
- "Session 2" if you are adding the course after the "Late Course Add Fee" deadline.
You have to look up the right Class Number for the session you are interested in to be able to enroll. Make sure to enroll in the right session to avoid Late Fees ($100).

You can find any class number on the Registrar website.

ECE MS Program
You ALWAYS need the instructor's permission to enroll in ECE 6193. If you are currently working on one of my projects and you need to sign up for Individual Study credits (ECE 6193), please:
- Send me an email asking to enroll in the class (note: the email has to include the #of credits, semester, course# and class# -see below how to find the right class number-). For example, this is an acceptable email:
Hi Prof. Fiorentini, I would like to enroll in 2 credit hours of your ECE 6193 Individual Study course for the Spring Semester 2020 (Class Number 9291).
- After I reply granting you permission to enroll in the course, please forward the email to our MS Program Coordinator, Mrs. Beth Bucher, or to the Graduate School (grad-schoolregistrationservices@osu.edu) to get enrolled in the class. Please email the graduate school if you need to enroll in a class the day of a deadline.
- In the next couple of days please check on the Buckeyelink to make sure you have been successfully enrolled in the course.
Class #
The class number reflects the semester in which you are taking the course, the session and the professor who will supervise the individual study. You should enroll in the:
- "Regular Session" if you are adding the course at the beginning of the semester (before the second Friday);
- "Session 2" if you are adding the course after the second Friday of the Semester.
Make sure to enroll in the right session to avoid Late Fees ($100).
For Spring 2024:
Regular Session (1/8/2024 - 4/22/2024) -> Class #: 9439
Session 2 (2/28/2024 - 4/22/2024) -> Class #: 9380
For Fall 2023:
Regular Session (8/22/2023 - 12/6/2023) -> Class #: 9869
Session 2 (10/16/2023 - 12/6/2023) -> Class #: 9853

Individual Study Report and Course Grade
Report
At the end of the semester, students enrolled in individual study credits will be asked to submit a report that summarizes the work that was done in the semester. A table of content for such report is linked below and the report will be due on Commencement day. Note that the individual study reports are different from the Final MS Reports. Final MS Reports have to be turned in as final exams for students graduating with a non-thesis option.
Individual Study Credits Report
Final Grade
Individual Study (ECE 6193) credits are non-letter graded credits. Specifically, a student is assigned a Satisfactory (S) grade if he/she:
- shows interest and participation in the project;
- shows they are capable of independent thinking and problem solving;
- shows constant progress throughout the semester;
- shows the ability to interact and collaborate with other peers;
- submits an acceptable report.
An Unsatisfactory (U) grade will be assigned otherwise. If the report is not turned in on time, an Incomplete (I) grade will be assigned as a temporary grade. After three weeks, this grade will turn into "U".
Internships strictly related to Electrical and Computer Engineering projects can qualify as MS Final Projects and Individual Study credits can be taken to get credit for them. After you have received an offer from a Company (or you are quite confident you are going to get an offer) :
- Schedule a meeting (go to the Schedule a Meeting tab on this page) with me to discuss the topic of your Internship and see if it qualifies for Individual Study Credits (ECE 6193 and/or ENGR 4191) and/or as your MS Final Project.
- If your Internship qualifies for Individual Study Credits, then:
- Fill out and email me this Internship Approval Form;
- Email me to enroll in ECE 6193 and/or ENGR 4191: Professional Practice in Engineering (please indicate the number of credits you want to sign up for).
- To successfully pass your Individual Study Credits, you will be asked to turn in a Technical Report on the work you did during the Internship by the end of the Semester. A four week extension can be granted if the Internship lasts till the very end of the Semester. In this case an "Incomplete" grade will be assigned at the end of the Semester as a placeholder until the report hasn't been graded.
NOTE that International students are required to obtain a CPT authorization before starting the Internship. Please contact our Office of International Affairs (OIA) for further information on CPT. Many details can be found on their website.
If I am your faculty advisor, please follow these guidelines in your final semester:
Project Path (Non-Thesis)
- Apply to graduate at gradforms.osu.edu no later than the 3rd Friday of the semester of graduation. I strongly encourage you to apply by the 2nd Friday to allow for possible changes/approvals. You will have to choose two committee members (you can choose more if your project was done in collaboration with multiple faculty), one is your faculty advisor (me), and the other one can be any OSU Professor that works in your research area or is familiar with your work. Please contact him/her before adding them as a committee member. (please refer to the Graduate School website for specific instructions).

Submit on Carmen (every semester I create a dedicated section) your MS Final Report and the Graduation Checkout (template available on Carmen) two weeks before "Examinations and Report completed by" deadline (See below how to check deadlines) as your final report will have to be approved by all committee members by that day. Once I receive your report, I will review it and I will send you my feedback within a week:- If the report is good, I will approve your final exam and ask you to send the report to your other committee member(s) via email. They will have to approve your report as well for you to be done;
- If the report requires some extra work, you will have to revise it based on my feedback and submit it again via email.
- If your second version of the report is acceptable, I will approve your final exam and ask you to send the report to your other committee member(s) via email. They will have to approve the report as well for you to be done;
- If your second version of the report is not acceptable, you will have to switch to an "End-of-Semester" graduation (see below). graduation so that you will have enough time to fix the report.
Please do not send your report to your second committee member until I tell you to do so. Please keep in mind that if the report is turned in late or if it requires a considerable amount of changes, you will be asked to switch to an "End-of-Semester" graduation. As a result, it is in your own interest to make sure that you turn in a good quality report, because after all, your MS Final Report is your final exam. To help you with your MS Final Report please find below the checklist that I will use to grade your report, an example of a final report and some writing resources available OSU (I strongly recommend you to take advantage of them).
Note that your committee members might ask you to schedule a meeting with them to give you a feedback on your final report, so until your final report has not been approved by all committee members plan on staying on campus. Providing feedback via email is impossible in most of the cases, so not being able to meet with your committee members might result into you having to switch to an "End-of-Semester" graduation or not being able to graduate that semester if you were already opting for an "End-of-Semester" graduation.
Once your report has been approved by all your committee members, all you have to do is to successfully complete all your coursework to be able to graduate. Note that at any time, you can keep track of the approval status for your MS Final Report in the gradforms.osu.edu website

Reduced Course Load – Final Term
